email solution sought

We have a committee, and each position has an email address, Chairman, secretary, treasurer etc. @organisation.co.uk.
our isp provides separate pop mailboxes but not smtp.
Is there any way I can pre-set an email client to send and receive organisation email without having them mix private and organisation email and without me having to attend each machine to set it up.
