email solution sought

We have a committee, and each position has an email address, Chairman, secretary, treasurer etc. @organisation.co.uk.

our isp provides separate pop mailboxes but not smtp.

Is there any way I can pre-set an email client to send and receive organisation email without having them mix private and organisation email and without me having to attend each machine to set it up.

Re: email solution sought

Just to clarify, do you have web host who supplied you with a 'Domain' and part of the package is x amount of POP email addresses.

If so, as you say you will opted to use chairman, secretary, treasurer etc. @organisation.co.uk.

You can easily use say Outlook/Outlook Express for instance to send and receive mails.

When adding and setting up the account(s), in the Incoming mail server (POP3) box, add mail.@organisation.co.uk or what ever format your ISP uses, then in the SMTP box, add smtp.whatevryourispis.com.

You will also have to fill in the rest of the settings as required by your ISP provider.

Exactly

"You can easily use say Outlook/Outlook Express for instance to send and receive mails."
Using Outlook or outlook express committee members (not computer savvy) often mix their own and the organisation's email.

"When adding and setting up the account(s), in the Incoming mail server (POP3) box, add mail.@organisation.co.uk or what ever format your ISP uses, then in the SMTP box, add smtp.whatevryourispis.com."

This would be ok but would mean a visit to each ex committee member and each new committee member - this is what I would like to avoid.

If the members were not using outlook express personally then ins or isp files could be distributed but these would not create separate file structures for organisation and personal mail

Would popcorn or ymail fit the bill?

many thanks for your thoughts on this, I am sure it is not an uncommon requirement.

I don't think you can achieve what you want via the Yahoo route, but Popcorn would be ideal.

I have just tried using -->> Popcorn 1.94 <<-- via a removable drive, and it works very well.
It also leaves messages on the sever so you can also download them again from say Outlook/Outlook Express should you have them set up to do so.

You will have to input the individual settings at your leisure and at a place of your choice as long as you have the preferred device, ie Flash drive for easy portability, and distribute accordingly. Once the recipient has received the portable drive, the folder containing the account ini can be saved to their HDD (Desktop) and used from there and the Flash drive returned.
I don't see why you can't also do this via CD.

It may be wise to also advise on the Firewall potentially stopping traffic and defeating the object of using a portable device or a copied folder from other removable media.

Re: email solution sought

Can you change your email provider? You should be able to if you are happy to change your settings with you host so as to point the email to another provider. This is what I did as the company I bought my domain name from didn't provide a very good email service so I simply changed the email settings to point to google apps. They boast that there service is great for small organisations and families. The free one service they provide would allow for 50 username@organisation.com addresses and allows smtp. It really is very good. I have it sycronised between my computer mail app, my iphone and off course you can access it online like any other web based email

Re: email solution sought

Thanks Gazlee, but the problem is not server side but at the client end.
In the past I have had to cycle around to each old committee member and remove organisation's address, and visit each new member and add that to their email client.
Using Fusion's assistance, I can now set up popcorn for the new committee member in the comfort of my own operating environment and then zip it and distribute by post. I can even ask ex members to return the inf file so we have their correspondence history.

Remaining problem overcoming reluctance to use different email software - fault as usual between keyboard and chair
